How Focus one works
Focus one follows a four-step process: capture, process, focus, complete. The app is a personal task manager, not team software and not classic project management software, although it is well suited for small projects. Your data lives in your private iCloud.
| Step | Goal | Main list |
|---|---|---|
| 1. Capture | Collect everything | Inbox |
| 2. Process | Organize and plan tasks | Standard lists, projects, areas |
| 3. Focus | Decide what matters now | Focus, Next |
| 4. Complete | Work through your tasks | Completed |
1. Capture
Everything that comes to mind goes into the Inbox first. There is no structure there. All that matters is that nothing stays in your head.
2. Process
You assign tasks to standard lists, project lists and/or areas and give them dates and/or repetitions. Processing also includes reviewing all your lists regularly and, while doing so, updating tasks, moving them or deleting them if necessary.
3. Focus
Focusing means deciding which tasks need to be done next. This partly happens automatically (via a scheduled completion date), or you deliberately move tasks to “Next” and/or “Focus”.
4. Complete
You work through the tasks one after another and check them off.
