Capturing tasks

Tap the plus to open Quick Add. On the Mac you can also use ⌘N.

What you can enter

  • Title (required) and note
  • Standard list, project and area
  • Tags
  • Checklist
  • Scheduled completion date, optionally with a time (bell icon): then you get a notification
  • Deadline date: the latest date by which the task must be done. It is also inherited from the project (a task’s deadline can be earlier but never later).
  • Repetition: daily, weekly, monthly or yearly
  • Additional reminder (independent of the scheduled completion date)

Saving and canceling

  • Enter or the checkmark saves the task.
  • Save + New Task saves and immediately opens the next one without closing the window.
  • X or Enter with an empty title closes the window without saving.

What is preselected

Without context, a new task lands in the Inbox, without a project and without an area. If you tap the plus inside a standard list or a project, Focus one takes over the list, area and project. On iPad and Mac, the button in the sidebar toolbar always creates a task in the Inbox.

New tasks appear at the top of the list, or directly below the selected task.

Other ways to capture

See Setting up the widget, Siri and Shortcuts, Sharing and Mail Drop and Quick Capture on the Mac.
